Responsibilities:
- Answer phone calls; handle questions and complaints; set up and confirm appointments and meetings. Oversee the needs of any visitor to the Practice Area. Deal with complex queries on the telephone, by email and in person.
- Completing internal projects as assigned by following up with responsible parties, meeting deadlines and providing support to employees.
- Screen incoming correspondence, responding when appropriate or referring inquiries to employees.
- Supporting our sales team.
- Assist billers in billing processes and prepare invoices and statements, if necessary. Create reports through our software program, as needed.
- Prepare agendas and take meeting minutes in industry groups and other meetings as necessary. Identify action items and ensure follow-up.
- Execute setup and take down of meetings which may include ordering & picking up meals, audio/visual equipment connections, etc.
- Assist with the execution of firm events and functions including but not limited to supply pickup.
- Assist in coordinating travel arrangements for conferences, meetings and events.
- Work with MS Word, Excel, PowerPoint and other relevant software, effectively navigate and research on the internet, and use technical equipment appropriately.
- Format and edit letters, reports, and all other correspondence from draft stage to client-ready work.
- Maintain clean and orderly desk and department clerical area and assigned building areas (i.e. break rooms, conference rooms, etc.). Stock paper supplies and printer ink as needed.
- Assist other departments with needs possibly including assembling and sending tax returns, check on e-file forms, filing, preparing mailings,1099’s etc.
- Run errands, lunch pick up, mail runs to local post office, etc.
- Assist Partners in the preparation and assembly of tax returns throughout the year.
- Backup for front desk coverage
- Work with marketing department on assigned industry group initiatives.
- Coordinating work with other administrative assistants & departments
Qualifications:
- Associates degree preferred or on the job experience equivalent is acceptable. Must have a minimum of 1 year of Administrative Assistant experience.
- Proficiency with MS Word, Excel, PowerPoint, and other relevant software. Proficiency in Excel is a must.
- Excellent interpersonal, communication and client service skills, both written and oral.
- Punctuality and understanding the coverage needs of the Firm is essential.
- Ability to manage projects independently.
- Knowledge of office practices, procedures, software and equipment.
- Ability to perform a variety of administrative skills requiring the exercise of independent judgment and problem-solving.
- Ability to multi-task and manage pressures of numerous deadlines, learn quickly as well as independently and problem solve

About the role:
The Squire Wealth Advisors Retirement Plan Advisor position is a unique opportunity to help both plan sponsors and plan participants reach important goals. This is a client-facing role responsible for an assigned book of retirement plan clients. The RPA must demonstrate strong industry knowledge and actively coordinate the overall client experience in partnership with the plans’ other service providers. This role will include new business development activity, which involves collaborating with internal teams to identify potential clients and expand the firm’s client base. By leveraging internal resources and expertise, the RPA will play a crucial role in driving growth and fostering long-term client relationships.
Responsibilities:
- Serve as the primary advisor to a book of clients, functioning as the primary relationship for the employer
- Communicate effectively addressing questions from the plan sponsors and participants and resolving problems
- Develops mastery of Squire’s evidence-based investment philosophy
- Independently run Plan Sponsor/Trustee/Committee meetings
- Ensure plans are meeting the goals and objectives of the employer and help participants meet their retirement goals
- Recommend strategic plan design and implement strategies as needed
- Independently deliver group investment education presentations
- Independently conduct one-on-one participant meetings (addressing savings rate, investments, how to enroll, etc.)
- Assist leadership with identifying new processes that will develop advisors or enhance the client experience
- Partner with wealth advisory teams to pursue and convert new business
- Develops internal best practices
- Diligent recording of client communication and information within client relationship management platform
- Contribute to various team projects as needed
- Train and mentor new team members
Qualifications:
Education and Work Experience
- Bachelor’s Degree and 3-5 years of retirement plan industry experience.
- QKA, CRPS, CPFA, QPA, AIF or other designation demonstrating industry expertise or willingness to obtain Series 65 within 120 days of employment.
- Proficient in Excel
- Experience with tools used daily – CRM (Wealthbox) and Custodians.

- Excellent relationship-building skills with a strong ability to anticipate, meet, and exceed client needs
